Can employees use personal ChatGPT, Claude or Gemini accounts for work?

Short answer

They can, but company data should not go into them. A personal ChatGPT, Claude or Gemini account runs on consumer terms between the vendor and the employee. Depending on the vendor and the user's settings, chats may be used to train models, and the company has no admin access, no retention control and no copy when the person leaves. A company workspace changes most of this; retention control depends on the plan. Your policy should allow AI, name the approved workspace and set a date for moving work across.

Why the account type matters more than the vendor

Our page on whether employees can use ChatGPT with company data covers which data is safe to share. This page answers a narrower question: what happens when that data goes into an account the employee opened personally rather than one the company pays for and administers.

The difference is who the agreement is with. A personal ChatGPT Free, Plus or Pro account, a Claude Free, Pro or Max account, or the Gemini app on a personal Google account is an agreement between the vendor and the individual. The vendor's consumer privacy rules apply, the employee controls the settings, and the company is not a party. A company workspace such as ChatGPT Business, Claude Team, or the Gemini app on a qualifying Google Workspace edition such as Business Starter is an agreement between the vendor and your company, with business data terms and an administrator on your side.

That holds even when an employee pays for a premium personal plan. A paid personal plan buys more usage and features. It does not move the account onto business terms.

Personal account vs company workspace: what changes

Each row cites the vendor's own pages, numbered as in the source list at the end of this page. Where a vendor's page does not describe something, the table says so rather than guessing, and statements marked 'our reading' are CIO Support's conclusion rather than a vendor statement.

Are chats used to train the vendor's models?Personal: OpenAI says it may use your content to train its models unless you opt out; Temporary Chat conversations are not used for training. Business: not by default; data a customer explicitly opts in to share, for example through feedback, may be used.Personal (Free, Pro, Max): used to improve models if the user allows it in privacy settings, if a chat is flagged for safety review, or if the user opts in; Incognito chats are not used. Team: not by default; exceptions are feedback, bug reports and data the organization otherwise chooses to share, and owners can turn off members' ability to rate chats.Personal: Google uses Gemini Apps activity to improve its services, including training generative AI models, and human reviewers read a subset of chats. With Keep Activity off and no feedback sent, future chats are not used to train Google's AI models. Workspace, on qualifying editions: content is not human reviewed or used for generative AI model training outside your domain without permission.[1] [2] [4] [6] [12] [13] [14]
How long are chats kept?Personal: Temporary Chat conversations do not appear in history. Business: OpenAI says workspace admins can control retention; deleted or unsaved conversations are removed within 30 days unless the law requires longer or it is needed to prevent harm.Personal: deleted chats leave Anthropic's back-end within 30 days; if training is allowed, data may be kept de-identified for up to 5 years; feedback is kept 5 years. Team: chats stay in the product until deleted, then leave the back-end within 30 days; custom retention periods are an Enterprise feature.Personal: activity auto-deletes after 18 months by default (3 or 36 months, or never, are options); with Keep Activity off, chats are kept 72 hours; chats reviewed by humans are kept up to 3 years. Workspace Gemini app: admins choose whether chats are saved and auto-delete after 3, 18 or 36 months (default 18).[1] [2] [5] [7] [12] [13] [14]
Can the company see or export the chats?Personal: no; the company has no admin role. Business: workspace admins can view, access, export and delete members' conversations.Personal: the account holder can export it from Settings > Privacy; the company has no admin route (our reading). Team: the Primary Owner can export the organization's conversation data; owners can also let members export their own.Personal: the account holder can export their information; the company has no admin route (our reading). Workspace, on editions that include Vault: admins can retain, hold, search and export Gemini app conversations with Google Vault, including ones a user deleted, where a Vault retention rule or hold covers them.[2] [8] [11] [12] [15]
What happens when the employee leaves?Personal: it stays in the employee's personal account; the vendor pages describe no way for the company to get it (our reading). Business: workspace admins can view, export and delete members' conversations. OpenAI's pages cited here do not say what happens to a removed member's conversations, so export what you need before removing the account (our reading).Personal: it stays in the employee's personal account; the vendor pages describe no way for the company to get it (our reading). Team: removing a user does not delete their data, but other members lose access to their chats and private projects. The Primary Owner's organization export still includes the removed user's data, except chats deleted before the export was run.Personal: it stays in the employee's personal account; the vendor pages describe no way for the company to get it (our reading). Workspace: Vault retention rules and holds can keep Gemini app conversations for admins; check Google's guidance before deleting a departed user's account.[2] [8] [9] [11] [12] [15]
Can existing personal chats be moved into the company account?OpenAI's Help Center has an article on merging a personal workspace into a ChatGPT Business workspace. Check it for the current steps and for what moves.Yes, for a personal account on the same work email. When joining, the user can keep both, bring their data across, or delete it. The move is one-way; custom skills, connector sign-ins and public share links do not move. Not offered into Enterprise organizations with HIPAA readiness or customer-managed keys.No route from a personal Google account into a Workspace account is described on the Google pages cited here. Have staff export anything they need and start fresh in the Workspace account.[3] [10]

Checked on October 22, 2026 against the OpenAI, Anthropic and Google pages in the source list, except OpenAI's Help Center article on merging a personal workspace [3], which could not be retrieved for checking that day; only the article's existence is relied on here. Vendors change plans and terms often, so confirm the current versions before you rely on them. 'Not described' means the vendor pages cited here do not cover it; ask the vendor. Some Google Workspace editions, including Business Base and Workspace Individual, provide the Gemini app on consumer terms, and Google Vault is available only on editions that include it. Prices are left out on purpose: check each vendor's pricing page on the day you buy.

What a company workspace does not fix

Moving people onto a business plan settles who the agreement is with. It does not settle what data belongs in the tool. A company workspace is still the wrong place for protected health information unless the vendor has signed the right agreement and the workspace is set up for it, and our Claude vs ChatGPT comparison shows how narrowly each vendor offers that.

Feedback is the other gap. OpenAI says business data shared through its opt-in feedback mechanisms may be used for training, and Anthropic keeps chats submitted with the thumbs up or down buttons for 5 years and may use them for training. Claude Team owners can turn member feedback off. The OpenAI pages cited here do not describe an equivalent admin setting, so on ChatGPT Business cover feedback in the policy and in training.

Finally, admin visibility cuts both ways. Once work moves into the company workspace, administrators may be able to read or export it. That is the point for the company, but employees should hear it from you before they move, not discover it later.

What the policy should say

A good policy on personal AI accounts is short and specific. It names the approved tools, says which data may go into them, and says plainly that company data does not go into personal accounts. It does not need to forbid employees from using AI in their private lives, and it should not try.

Write the rules for training, retention and admin access around the account type, not the brand. The same vendor can be acceptable on a company workspace and unacceptable on a personal account, so 'ChatGPT is allowed' or 'Gemini is banned' leaves staff guessing. Our acceptable use policy template has wording you can adapt.

  • Approved tools: name the company workspace for each AI assistant you support, and say that work goes there and nowhere else.
  • Personal accounts: no customer data, employee data, financials, source code, contracts or other non-public company information, whatever the user's training setting.
  • Feedback and sharing: say whether staff may use thumbs up or down and share links, because OpenAI and Anthropic both treat feedback as a way a chat can be used for training, even on their business plans.
  • Restricted data: health information, controlled unclassified information and export-controlled data stay out of AI tools unless a specific agreement and configuration are in place.
  • Leaving the company: work chats belong to the company, nothing is exported to a personal account, and IT exports or retains what the company needs before the account is removed.
  • Moving over: a set date by which existing work in personal accounts is migrated or deleted.

How to move people onto a company workspace without a ban

A ban on AI is hard to enforce and can push the same work onto personal devices, where the company sees even less. A smoother path is to make the company workspace the easiest option and give people a clear window to move.

Start by licensing the workspace and connecting it to company sign-in, so that, where the plan supports it, accounts are created and removed with the rest of each person's access. Set feedback options, and retention where the plan allows it, before anyone is invited, so the first chats already follow your rules. ChatGPT Business and the Gemini app on qualifying Workspace editions give admins retention settings; on Claude, custom retention periods are an Enterprise feature.

Then use the vendor's own migration route where one exists. Anthropic lets someone with a personal Claude account on the same work email bring their chats and projects into the Team organization when they join, or later from Settings > Account. Anthropic says the move is one-way, so tell staff what moves before they choose, and have anyone with personal material mixed in export it first. OpenAI's Help Center has an article on merging a personal workspace into a ChatGPT Business workspace; check it for how the merge works today before you send staff instructions. Google's pages describe no equivalent route for the Gemini app, so plan on staff exporting what they need and starting fresh.

Give a date, not an open invitation, and make the window long enough for people to move active work. After that, apply the policy, review which AI sites company devices reach, and follow up with individuals rather than the whole company. Common follow-up questions

If an employee turns off training on their personal ChatGPT account, is that enough?

No. Opting out stops new conversations from being used for training, according to OpenAI, but the account still runs on consumer terms. The company has no admin access, cannot set retention, cannot export the chats and has no copy when the person leaves. Company data belongs in a workspace the company controls.

Is a paid ChatGPT Plus, Claude Pro or Gemini subscription a business account?

No. Paid personal plans add usage and features but stay on each vendor's consumer terms. The business terms in this comparison come with ChatGPT Business, Claude Team or Enterprise, and the Gemini app through a qualifying Google Workspace edition. Some Workspace editions, such as Business Base and Workspace Individual, provide the Gemini app on consumer terms.

Can an employee move their personal Claude chats into our Claude Team account?

Yes, if the personal account uses the same work email. Anthropic offers to bring chats, projects and files into the organization when the person joins, or later from Settings > Account. The move is one-way, and some items, such as custom skills, connector sign-ins and public share links, do not move. Anyone who paid for Pro or Max through the Apple App Store must cancel that subscription first.

Can we see what employees type into a company AI workspace?

On some plans, yes. OpenAI says ChatGPT Business admins can view, export and delete members' conversations. Claude Team's Primary Owner can export the organization's conversation data. On Workspace editions that include Vault, admins can retain, search and export Gemini app conversations. Tell staff this in the policy, so nobody is surprised.

Should we just ban personal AI accounts?

Ban company data in personal accounts, not AI itself. A blanket ban on AI is hard to enforce and can push the same work onto personal devices you cannot see. Licensing an approved workspace, moving people across by a set date and writing the rule into your acceptable use policy keeps the work where the company has admin control.
